About the Role
The Dispatcher/Customer Service Representative coordinates service calls and dispatches technicians while assessing customer needs against technician availability. Success requires multitasking, task prioritization, and managing scheduling challenges to support operational efficiency.
Key Responsibilities
- Respond promptly to customer inquiries via phone and email with timely, accurate communication
- Provide detailed information on services, scheduling, and available options
- Manage service appointment scheduling and coordinate with dispatchers
- Maintain accurate records of appointments, customer details, and job statuses
- Address customer concerns professionally and resolve issues promptly
- Ensure follow-up to confirm issue resolution and customer satisfaction
- Organize and maintain current customer databases and process documentation
- Assist with payment processing and invoicing, including tenant/landlord situations
- Promote maintenance plans and relevant products
- Guide customers in informed service decisions
- Contribute to team discussions on process improvements
- Maintain clear boards by moving unfinished calls to following business day
- Update builders on work order statuses via builder portals
- Follow up on “parts ready” tickets and confirm scheduling with homeowners
Requirements
Education & Experience
- High school diploma or equivalent
- Previous dispatch, customer service, or similar role experience preferred
- Experience in HVAC, plumbing, electrical, construction, or logistics industries is a plus
Technical Skills
- Proficiency in scheduling/dispatching software (e.g., ServiceTitan)
- Strong computer skills including Microsoft Office (Word, Excel, Outlook)
- GPS tracking and mapping systems capability
- Data entry and record-keeping accuracy
Communication & Customer Service Skills
- Excellent verbal and written communication abilities
- Strong active listening and problem-solving skills
- Ability to handle high-pressure situations and multitask
- Professional and courteous phone etiquette
Organizational & Analytical Skills
- Strong attention to detail and task prioritization
- Manage multiple service requests and coordinate field technicians efficiently
- Strong time management with adaptability to changing priorities

- Strong conflict-resolution and de-escalation skills
- Familiarity with industry terminology and procedures preferred
- Flexible hours availability, including evenings and weekends if required
